A calendar, not a window into your life.

What we collect

When you sign in, the scheduler verifies your Stanford identity and stores your email, a temporary session, and your bookings. Ordinary visitors do not grant calendar access. Only Dan and Klemen can connect host calendars. Host authorization tokens are encrypted on the backend; they are never sent to the public website.

Calendar access

The scheduler uses selected host calendars to calculate busy periods, create office-hours events, and cancel events it created. Google supplies free/busy periods. For Outlook, the scheduler requests event timing and availability fields, not subjects or descriptions, to calculate availability. It does not publish or retain the contents of hosts’ other events. Calendar access is used only to provide scheduling, not advertising, analytics, or model training.

Use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.

Who can see a booking

A booking’s email, time, and hosts are visible to the person who booked and their selected hosts. The public page shows available times only. Calendar providers process invitations under their own policies. No advertising or third-party analytics scripts are used.

Storage and deletion

Booking data lives on the lab’s Google Cloud backend. Sessions expire after 12 hours. Completed and cancelled booking history is removed from the live database after 90 days; encrypted operational backups may retain it for up to another 14 days. Unfinished calendar operations remain until resolved. Disconnecting removes the host’s stored calendar tokens, once upcoming bookings are cleared. You can also revoke access directly in Google or Microsoft account settings.

For access or deletion requests, contact klemenk@stanford.edu. Cancelling through this site removes the associated calendar events. Signing out clears this tab’s session. Your provider may retain its own event and invitation history.

Using office hours

This is a lab scheduling tool for people with a verified Stanford account, not a university-wide service. Reserve only the time you need, and cancel when plans change. You may hold up to four upcoming bookings. Times are Pacific, with a 30-minute lead time and a 28-day booking window.

A booking is confirmed only when the website says “confirmed.” Pending bookings or cancellations are retried automatically; contact a host if a pending state does not clear. New calendar events remove free times on the next refresh, but a later conflict does not silently cancel an already confirmed meeting. Please coordinate changes with the people involved. To reschedule, cancel here and book another time; moving or deleting a provider event alone does not update the scheduler’s reservation.

The service is provided for lab coordination without an availability guarantee. If it is unavailable, contact your host directly. Slack booking is not part of this version.
